The minutes for the Dec 2007 monthly meeting.

Twelve gentles were present, including HRH Lutr. The meeting was opened by the Seneschal, who suggested we present a bid for Coronation on April 19. The suggested site was the Thoroughbred Center, which Sven has contacted and which has the date open. Sven thought that it would be doable if we did not serve a feast, but rather an all-day buffet arrangement of items such as Pennsic Potatoes, soup, salad, and smoked meats-and if we rolled the price for the buffet into the general admission. There is a wedding in the front room at that time, but it is not believed to be a problem-we would have the auditorium and back room. The Thoroughbred Center said the bathrooms were working this time. It was agreed that the bid would be submitted. If we find other locations we like as well, we can submit more than one bid.
Other possible sites for events were discussed. Ekkill has investigated the Lexington Ice Center and the Soccer Center. There are no kitchens at either site, but they might be useful for fighter-type events. Brianne is looking into the Shelby County Fairgrounds, which do have a kitchen. Sven investigated a tobacco barn, which was cheap to rent, but had no parking. Ullr came up with a good idea-that people should submit the sites they investigate to the Dragonsmark forums. Sybella agreed to start an appropriate forum for this.
Sven would like to plan a couple of summer demos for next year. One would take place in Shillito Park; the other at Shillito or perhaps Jacobson. He wants to have heavy-weapons fighting, rapier, and A & S stuff.
Candlemas 2008-The preview ad was submitted to the Pale, but they did not print it. We also did not receive acknowledgment that our January ad was received, though Sybella contacted the Pale editor several times. But our website is listed on the calendar. We will submit an ad for the February Pale.
We will not be having a feast this year. Allison has agreed to be head troll, since we don’t need a feast-o-crat. Iri will be Royalty Liason. Sybella is going to check rental companies for tables to rent. The purchase of three tables for the shire (for list and troll) was approved by the populace present. Ekkill said that he could store them between events in his garage.
We need a scale map of the site before we can proceed with list layout, planning other activities, etc.. Brianne and Sven will go to Heritage Hall over the holidays to survey the site, get maps and get answers to questions about cooler dimensions, etc.
We are going to make new banners/list pennons for the lists. The marshalls want little banners every 3’. It would be helpful to put the shire arms on different color backgrounds to differentiate the lists. Alison will host the banner-making session on the 1st Thursday in January at 4:00 PM.
Sybella has the site tokens covered. She is making ceramic runes.
Since there is no feast, there is not an urgent need for weekly Candlemas meetings. The populace agreed that we should hold one additional Candlemas meeting between the regular January and February Shire meetings. The site and time for the special meeting will be decided at the January meeting.
